Total Flexibility for Every EVS Task
By Tom Perry, Senior Product Manager, TeleTracking
When people think about Environmental Services (EVS), they often think first about discharge cleans. Naturally, discharge cleans are critical to patient flow, throughput, and safety. For years, that’s where most technology investment has been focused.
This is proven by our numbers. Across our customer base, TeleTracking supports EVS operations in hundreds of hospitals and well over 170,000 beds. Over the course of a year, that translates into millions of discharge cleans and daily cleans. But what often goes unseen is the volume of additional work EVS teams take on every single day.
Every day, EVS teams are also responding to a steady stream of ad hoc requests, such as trash removal, supply replenishment, public restroom cleaning, spills in non-patient areas, and countless other tasks that keep a hospital running. These requests are essential, but historically they’ve been managed informally via phone calls or direct conversations.
That informal process gets the job done, but they’re rarely captured in a structured way. This makes it difficult to answer basic operational questions, such as:
- How much work is actually being done?
- Where is demand coming from?
- Are we staffing appropriately?
- Which tasks are driving the most workload?
Without data, these questions turn into guesswork.
Introducing Service Jobs in EVS
To address this, we have introduced a new EVS capability called Service Jobs.
At its core, Service Jobs extend the same proven logic used for discharge cleans — workflow, dispatching, prioritisation, and tracking — to the full spectrum of EVS work.
A few things were important to us from the start:
- Adoption should be simple. Service Jobs use the same workflow EVS teams already know
- Coverage should be comprehensive. Tasks can be created for any defined room in the hospital, not just patient beds
- Data should be consistent. Service Jobs are tracked alongside discharge and daily cleans, creating a single operational picture
The result is a structured, trackable way to manage ad hoc EVS work without adding complexity for frontline staff.
What This Looks Like for EVS Teams
From the EVS employee’s perspective, Service Jobs feel familiar.
Tasks appear in the mobile app just like discharge cleans, with a dedicated Service Jobs section that shows what needs to be done and where. Our proximity logic groups tasks in the same location, allowing staff to complete related work efficiently.
For supervisors, Service Jobs appear directly in the EVS dashboard they already use. They can see what’s waiting, what’s in progress, and what’s been completed.
APIs and Third-Party Integrations
Many health systems already use service management or ticketing systems for requests. Our enhanced EVS can integrate with those systems through APIs.
Requests entered through the third-party service management system flow directly into the EVS module, which dispatches the tasks to EVS staff. Timestamps and all related data are sent back through the APIs.
- EVS teams remain in Operations IQ
- Nurses and caregivers stay in the third-party systems they already know
- Leadership gets a unified data set
Where the Data Starts to Matter
Most importantly, the work that EVS teams are already doing is now visible and measurable, and that data tells a story.
In Data IQ, organisations can analyse service job activity over time and filter by task type, location, day of week, or time of day. Patterns emerge quickly. You might see an unusually high volume of a specific job type, or consistent spikes in requests on a particular floor or shift.
These insights lead to better questions:
- Is this driven by patient volume?
- Is there a facility issue contributing to repeat requests?
- Do we need to adjust staffing or supplies in specific areas?
This isn’t about assigning blame. It’s about understanding reality and planning accordingly.
Our pre-built data visualisation dashboards provide compelling ways for operational leaders to comprehend the data. Heatmaps blend service jobs with a calendar grid, which allows leaders to instantly see when demand is highest so that they can align staffing to match workload.
